How to Post to Instagram From Desktop (PC and Mac, 2026)

Three ways to post to Instagram from a Mac or PC: instagram.com, Meta Business Suite and SchedPilot. What each one can do, what it can’t, and which to use.

You finish a ten-slide carousel in Canva, export it, and then spend five minutes AirDropping files to your phone because you assume that’s the only way Instagram will take them. It isn’t. Instagram’s website, Meta Business Suite and any proper scheduler all accept uploads straight from a Mac or PC.

They are not interchangeable, though. One is fine for a quick post, one is free but clunky, and one is how people who run Instagram for a living actually work. My short answer: use instagram.com for one-offs, Meta Business Suite if the budget is zero and you run one brand, and SchedPilot once you post more than a few times a week or look after more than one account.

How to post from instagram.com

This works on any account, personal or professional, in Chrome, Firefox, Edge or Safari. Nothing to install.

  1. Go to instagram.com and log in.
  2. Click Create (the plus icon) in the left sidebar, then Post.
  3. Drag your files into the window or click Select from computer. For a carousel, select up to 20 images or videos at once.
  4. Pick a crop. Choose the original ratio, 4:5 or the tall 3:4 option, and reorder carousel slides with the stack icon.
  5. Click Next, add a filter or adjust brightness if you want, then Next again.
  6. Write the caption, add a location and tag people. Open Accessibility to write alt text, and Advanced settings to hide likes or turn off comments.
  7. Click Share.

A vertical video uploaded this way goes out as a Reel. That covers most of what the website can do, and the gaps matter. You can’t post Stories from instagram.com at all. There’s no trending audio library, no stickers and no first-comment option. And don’t plan your week around scheduling here: Meta documents its built-in scheduler as a feature of the mobile app, so whether a schedule option appears on the web depends on your account, and I wouldn’t rely on it.

One small time-saver: select all your carousel slides in Finder or File Explorer and drag them in together. Instagram keeps the order you selected them in, so name your exports 01, 02, 03 and select them top to bottom.

How to post and schedule with Meta Business Suite

Meta Business Suite is Meta’s free desktop dashboard for Facebook and Instagram. It needs a business or creator account connected to your Meta business setup (switching is free and takes about a minute in Instagram’s settings). In return you get the two things instagram.com lacks: Stories and proper scheduling.

Open business.facebook.com and choose Create post, Create reel or Create story. Tick Instagram as the destination (add Facebook too if you want to cross-post), upload your media, write the caption, and pick Schedule instead of Publish now. You can set a time up to 75 days out, and everything shows up in the Planner calendar. For Reels you can upload a custom cover, which the website won’t let you do.

It’s free, and because Meta runs it, it rarely breaks when Instagram changes something. But it’s slow once you post a lot. Every post is created one at a time, there’s no grid preview, you can’t save hashtag sets, and it only publishes to Facebook and Instagram. If you also post to TikTok or LinkedIn, you’re back to doing everything twice.

How to schedule Instagram professionally with SchedPilot

When Instagram is part of your job, you plan a week or a month in one sitting, check how it looks on the grid, and let it publish while you do something else. That’s what SchedPilot’s Instagram scheduler is built for, and it’s the tool I recommend at the top of my Instagram scheduler roundup.

It publishes feed posts, carousels, Reels and Stories automatically through Instagram’s official API, so there are no push notifications nagging you to finish a post on your phone. You upload a batch of posts at once, drop them onto a drag-and-drop calendar or into a queue with preset time slots, and see a live preview of your grid before anything goes out. The same upload can go to TikTok, LinkedIn, Facebook, YouTube, Pinterest, Threads, X and Bluesky, with a different caption for each network. It suggests posting times based on when your audience is active, and teams get roles and approvals, so a client or manager can sign off before a post goes live.

The part I use most is the AI side. SchedPilot has an MCP connector, which means you can plug it into Claude or ChatGPT and have the assistant draft and schedule a week of posts for you, or wire it into n8n for fully automated workflows. None of the free options can do that.

A typical Monday with it looks like this. Design the week’s six or seven posts in Canva, export them into one folder, drag the folder into SchedPilot, write or AI-draft the captions, arrange them on the calendar until the grid looks right, and you’re done in well under an hour. The rest of the week is replying to comments.

Honest trade-offs: SchedPilot is a newer brand than Buffer or Hootsuite, and if you need enterprise-grade reporting you may want a dedicated analytics tool alongside it (I compare those in this analytics roundup). It also can’t add trending audio or interactive stickers, but no third-party tool can, because Instagram’s API doesn’t allow it. There’s a 7-day free trial, so test it on a real week of content rather than clicking around the menus.

Posting Reels from desktop

Export at 1080 x 1920 in 9:16, as an MP4 with H.264 video and AAC audio. Instagram’s recommended ceiling is three minutes. It accepts longer uploads, but it has said Reels over three minutes won’t be recommended to new audiences, so if reach matters, stay under that.

Audio is where desktop falls down. Neither the website nor any scheduler can browse Instagram’s music library, so bake your sound into the video when you edit it. If a Reel only works with a trending sound, finish it in the app on your phone. Everything else (captions, covers, scheduling) is easier on a computer.

Posting Stories from desktop

instagram.com can’t post Stories. Meta Business Suite and SchedPilot both can, as long as the Story is a plain image or video at 1080 x 1920. Polls, questions, link stickers, countdowns and music are app-only. So branded graphics, product shots and clips are fine to schedule from your desk, and anything interactive needs your phone.

Sizes that won’t get cropped

Format Size Ratio Notes
Tall feed photo 1080 x 1440 3:4 Matches the profile grid, so nothing gets trimmed
Portrait feed photo 1080 x 1350 4:5 The old standard, still safe
Square photo 1080 x 1080 1:1 Looks small in the feed now
Carousel Up to 20 slides Same for every slide The first slide sets the crop for the rest
Reel 1080 x 1920 9:16 Up to 3 minutes for full reach
Story 1080 x 1920 9:16 Keep text away from the top and bottom edges

If you only remember one row, make it the first. Instagram switched profiles from square thumbnails to a taller 3:4 grid in January 2025, and most desktop guides still tell you to export at 4:5. At 1080 x 1440 your posts fill more of the feed and show up uncropped on your profile.

When a desktop upload fails

Most failures are the file, not Instagram. iPhone photos exported as HEIC and anything saved as WEBP get rejected, so convert them to JPG first. Videos exported in H.265 (HEVC) sometimes upload and then play as a black screen; re-export in H.264. If the Create button does nothing, an ad blocker or privacy extension is usually the cause, and a private browser window will prove it. If you can’t find the Story option, you’re on instagram.com, which doesn’t have one. And if your account doesn’t appear in Meta Business Suite, it’s still set to personal, or it isn’t connected to your business portfolio yet.

FAQ

Can you post to Instagram from a computer?

Yes. instagram.com lets any account post photos, carousels and Reels from a browser, and Meta Business Suite or a scheduler like SchedPilot adds Stories and scheduling. It works the same on Mac and PC.

Can you schedule Instagram posts from instagram.com?

Not reliably. Instagram’s built-in scheduler is a mobile app feature, so for desktop scheduling use Meta Business Suite (free, up to 75 days ahead) or SchedPilot if you want bulk uploads and a calendar.

Can I post Instagram Stories from my PC?

Yes, but not through instagram.com. Meta Business Suite and SchedPilot both publish image and video Stories from a computer, though polls, link stickers and music still need the app.

Do I need a business account to post from desktop?

Not for instagram.com, which works with any account. Meta Business Suite and third-party schedulers need a business or creator account, and switching is free in Instagram’s settings.

Can I add music to a Reel from desktop?

Not from Instagram’s library. Add the audio in your video editor before you upload, or finish the Reel on your phone if it depends on a trending sound.

Is posting to Instagram from desktop free?

Yes, instagram.com and Meta Business Suite are both free. You only pay if you want a scheduler with bulk uploads, a grid preview and other networks, and SchedPilot has a 7-day free trial to test that.

What’s the best tool to schedule Instagram posts from desktop?

For most creators and small teams, SchedPilot. It auto-publishes posts, carousels, Reels and Stories, handles several accounts at once, and connects to Claude or ChatGPT so an AI agent can schedule for you.
